01Who we are

CHA is a free Christian youth event organised in Aruba by a team of volunteers together with local churches, schools and sponsors. When you register for CHA 2026 or contact us through this website, our organising team is responsible for the personal information you give us.

02What we collect, and why

We ask for the smallest amount of information that lets us run a safe event. Nothing on the form is there out of curiosity.

• Name and date of birth: to confirm the participant is within the age range and to identify people at check-in.
• Email address and phone number: to send the registration confirmation and QR code, and to reach the participant if a session changes or the event is moved.
• Emergency contact details: so first aid or medical help can be arranged quickly if something happens.
• School, church or team name, when given: to organise teams and group check-in. This is optional.
• Dietary and accessibility notes, when given: to provide safe food and to make sure everyone can take part. These are optional and only shared with the staff who need them.
• Workshop choices: to plan capacity and rooms.
• Check-in and attendance records: to know who is on site, which matters for safety and for headcounts.
• Messages you send through the contact form: to answer you.

03Participants under 18

CHA is built for young people, so most of our participants are minors. Everyone registers and confirms their own consents themselves, whatever their age, the same as any other participant.

We will not ask a minor for more information than the registration form contains, and we never ask children for financial information or identity documents.

04Photos and video

We take photos and video during the event to share the story afterwards on our website and social media. Photo consent is optional and is asked separately during registration. You can join CHA fully without agreeing to it.

If you or your child appear in an image you would rather we did not use, tell us and we will remove it from our channels. We cannot control what other attendees post from their own phones, so we also ask everyone to be considerate on the day.

05Who can see your information

Access is limited to the people who need it to do their job on the day, and every access is logged.

• Organisers and event administrators: full access to registrations for planning and safety.
• Check-in volunteers: only enough to scan a code and confirm a name.
• Workshop leads: the participant list for their own session, so they know who should be there.
• First aid staff: emergency contact, dietary and accessibility notes, only when it is needed.

06We do not sell your data

We never sell personal information and we never share it with third parties for their own marketing. We do use a small number of service providers to run the platform: a hosting provider for the website, a database provider that stores registrations, and an email provider that sends your confirmation and reminders. They process the data only on our instructions.

We will only give information to authorities or emergency services when someone's safety requires it or when the law obliges us.

07How we protect it

Registrations are stored in an access-controlled database. Staff accounts are individual, permissions are limited by role, and administrative actions are recorded in an audit log. Data is transmitted over encrypted connections. Registration lookups on this site require both your registration code and the email or phone used to register, so a code alone reveals nothing.

08How long we keep it

We keep registration details for the current edition of CHA and for a short period afterwards so we can follow up, answer questions and prepare the next event. As a rule we delete or anonymise personal details within twelve months of the event, keeping only aggregate numbers such as how many people attended, which contain no names.

Contact form messages are deleted once the conversation is finished. Photos published with consent stay online until you ask us to remove them.

09Your rights

You can ask us to:

• Show you what information we hold.
• Correct anything that is wrong or out of date.
• Delete a registration and the details attached to it.
• Withdraw photo consent, or any other optional consent, at any time.
• Stop sending event emails, while keeping the registration itself.

10Cookies and analytics

This website does not use advertising cookies and does not track you across other sites. We use only what is needed to keep the site working, such as remembering that you dismissed an announcement or that you are signed in as a staff member.

11Changes to this notice

If we change how we handle information we will update this page and change the date at the top. For anything significant we will also say so on the site or by email.
